Use the media library

Keep reusable images and PDFs in one library, credit them correctly, and attach them to the posts that need them.

Open it at
Work → Media Library

Reuse from
A post’s Files tab → From library

Upload a file

  1. Open Media Library

Every staff member can open this screen. Use it for assets that more than one post may need, or for files you will attach later.

  2. Choose Images or Documents

Images is the photo grid. Documents lists PDFs. Search narrows by file name.

  3. Choose Upload

Select a JPEG, PNG, WebP, or PDF from your computer. The file is stored for the desk; it is not public until a published post uses it.

Describe and credit it

Select a thumbnail to open its detail. File name, uploader, date, size, and dimensions are recorded automatically. Fill the fields people will search and the public page will show.

  1. Write Alt text

Describe what the picture shows for readers who cannot see it. Name the teams, the action, and the setting when they are visible.

  2. Fill Accreditation

Credit the photographer or outlet, for example “Jane Smith for WNY Athletics.” This is the public photo credit.

  3. Add metadata keys when useful

Keys may only use a-z, 0-9, and underscore. Typical keys are team, sport, and jersey. Choose Save.

Use it on a post

  1. Open the post Files tab

Choose Upload to add a new file to this post, or From library to attach an existing library item.

  2. Set a featured image when the type has one

Use as featured marks the image the public template will treat as the lead photo.

  3. Copy display code to place it in the body

Paste the #image- or #file- code on its own line in the Markdown body. Preview confirms it expanded.

  4. Check Used in on the library card

The detail lists every post that already references the file so you do not delete a live asset.

Delete with care

Delete removes the file from the library. If it is still used on posts, the desk asks you to confirm. Prefer correcting alt text or replacing the image on the post over deleting a file that published stories still reference.

Frequently asked questions

Can I use a library file on more than one post?

Yes. From library attaches the same stored file. Changes to alt text and credit apply everywhere that file is used.

Where do community photos come from?

Editors review them under Photo Submissions. Accept for library copies the files here with credit and game details.

Why is Delete missing on some files?

You can delete files you uploaded. Editors and admins can delete a wider set. A file in use on published posts should be replaced, not removed, unless an editor confirms it.
